Job Description: 

Office coordination

  • Handle general enquiries coming in by telephone, taking appropriate information to identify which team member needs to respond. This will involve keeping up to date with current projects, funds and contacts so that you can be a helpful first point of contact.
  • Be responsible for general office duties across the London office including opening, distributing and sending post, arranging couriers, monitoring and ordering office supplies etc.
  • Be responsible for co-ordinating London-based meeting room bookings and catering.
  • Liaise with building managers for maintenance, security and health and safety purposes under guidance of the Leadership Team Manager.
  • Ensure central documents are updated for all staff use such as the phone directory and the room and catering bookings ledger.
  • Assist in the organisation of various internal teams, strategy days, team meetings, intelligence days, internal training sessions, Away Days and other external events.
  • Undertake fire warden training (provided) and ensure that the health and safety requirements for the London Office are followed. IT and data entry
  • Assist in IT setup and associated queries, liaising with our external IT support provider.
  • Assist in data entry processing using the Salesforce CRM. Finance and Human Resources
  • Provide financial administrative support to the Finance Assistant by liaising with staff to ensure invoices are coded correctly and received on a timely basis. When necessary this may also include processing accounts payable and staff expenses, debit/credit card reconciliations and ensuring documents loaded into the finance system as directed by the Financial Controller.
  • Support the Head of HR in maintaining electronic and paper filing systems.
  • Produce basic letters and contracts.
  • Produce recruitment materials and coordination selection activities as required.
  • Oversee the training register including booking training courses as requested. Provide ad-hoc assistance to other team members as required.

Person Specification:

  • Previous experience of working in an office environment would be preferable but is not essential.
  • Confidence in using IT systems including MS Office
  • Good level of oral, written and numeracy skills
  • Enjoys communicating with people including members of the public in various mediums such as via telephone, email etc in a professional and curious manner
  • Good levels of accuracy and attention to detail
  • Ability to learn quickly with confidence to ask for help
  • Willing to work flexibly and fluidly
  • Ability to foresee likely issues which may arise in an office setting
